In instances where an employee works for more than one location, employee sharing can be used.

Enabling Sharing

To enable sharing, follow these steps:

  1. Navigate to Admin > Operational Settings.
  2. On the operations tab select Yes for “Allow location to share employees with other locations” (see screenshot below).

        3. Once this setting is enabled employees will be shareable across multiple locations. 


                      a. Bytecurve team will need to create a pool of locations for which the sharing will be possible.


Sharing Employees 

To share employees, follow the steps below:

  1. Navigate to Set-up > Employees.
  2. For an employee needing to be shared, under the Action column press the icon and then select Share.
  3. A pop-out window for sharing the employee will appear. Specify the start and end dates, before clicking Save.
    1. Note that end date is not required, but start date is.
    2. Note that although the option to loan an employee is displayed, it is not yet functional.

        4. Once the employee has been shared they will be available to be assigned tasks in the shared location. An employee who is being shared will have an arrow icon next to their name (see screenshot below).


                          a. It is important to know that setting an end date for an employee who still has active task assignments in the shared location will cause those assignments to be removed. 


                        b. Hovering over a shared employee will display their ‘home’ location.

  1. Note that the system will check to ensure that the employee is not already assigned to a task with overlapping times. If the employee is indeed already assigned to a conflicting task, in a different location, a star will appear next to their name (see screenshot below).

        5. Once a task is completed for an employee at a shared location it will be displayed on the “Time and Attendance Verification” screen of their ‘home’ location. However, the tasks performed at a shared location will need to be modified so that the task code matches one that already exists in the 'home' location before verification can be completed.

It is important to know that shared employees will not be visible on the Calendar screen under Set-up in the 'shared location.
