On occasion, it may be necessary for a dispatcher, payroll coordinator, or other role to use the Bytecurve 360 software to manually clock an employee into a task, out of a task, or perhaps even both.  Bytecurve 360 provides functionality that allows a privileged user to perform manual clock events for their employees on tasks.

In this article, the use case presented is a driver who is currently covering a Field Trip task, but dispatch decides they need the driver to go immediately upon completion of the Field Trip to start a PM Home to School task at a nearby school.  

 Because the driver will not have time to pull over and clock out of the Field Trip task, nor to stop and clock in to the HTS task, the dispatcher calls the driver and informs them of their new assignment and that they will manually clock them out of the field trip at the scheduled time, and into the PM HTS task at the scheduled time.

In the example below, we can see that the driver has clocked into the Field Trip task, and the task is in progress.  The dispatcher has also manually added a new PM HTS task which they will need the driver to cover.

 

The first step is for the dispatcher to click the “Clock” icon on the row associated with the active task.  This will bring up the Manual Sign in/out interface for the task in progress.

Note:  The Sign-In time is greyed out and cannot be modified.  This is because the driver performed their Sign-in via either the Bytecurve 360 timeclock, DriveOn app, or a tablet in the vehicle.  This digital timestamp cannot be modified.

Since the task has not yet been signed out of, by the driver, the dispatcher can choose to clock the driver out of the active task at one of three times:

  • At Scheduled Time (the original end time for the scheduled task)
  • At Current Time (clock-out will record the current time from Bytecurve 360 and use that timestamp)
  • A Selected Time (Dispatch can coordinate with the driver and determine when task ended and clock them out then)

In this example, we’re going to clock the driver out at 2:20 PM because he has indicated that was when he finished the Field Trip.

A green “Success” message will be displayed indicating that the Task Details were updated, and the user will be returned to the Dispatch interface.

Next, as we have asked the driver to cover a HTS task with a scheduled start time of 2:30 PM we’re going to click the “Clock” icon associated with the HTS task which has not yet started and in this example, we will clock the driver in at the originally scheduled start time of 2:30 PM, as shown below.

Once again, a “Success” message will be displayed, and the user will be returned to the Dispatch screen.  The Field Trip will now be listed as a “Completed” task, and the HTS task will be listed as In Progress, or one of the “pre-trip” statuses, such as “Yard Departure Due”.

Once the driver completes the PM HTS task, they will have the opportunity to clock out via DriveOn, tablet, or the Bytecurve Time Clock.  If the driver is not able to use one of these methods, the dispatcher can also return to the same task, click on the “Clock” icon and manually clock out for the driver at the appropriate time.
